Terms and Conditions

By attending the Hong Kong International Mental Health Conference 2025 (the "Event"), you agree to the following terms and conditions.

General Admission

The Event requires a paid ticket for attendance, which can be purchased through Ticketflap at www.ticketflap.com.
Each ticket is valid for one person only and cannot be converted to cash unless otherwise stated.
The registration payment must be completed and received by the Organiser prior to the registrant’s arrival at the event venue. It is also advised to bring a copy of your payment slip in the event the payment proof is requested to be presented at the registration counters.

All prices are stated in Hong Kong Dollars (HK$).
A non-refundable booking fee, established by Ticketflap, will be applied to each purchase. This fee is the sole responsibility of the registrant.
Booking fee:

Tickets priced below HK$100: HK$18
Tickets priced at HK$100 or above: 6% of the ticket price (final amount rounded up to the nearest dollar, i.e. when purchasing Early bird - Day 1+2 Bundle, the booking fee will be: HK$2,660 x 6% = HK$159.6, rounded up to HK$160)

The early bird rate is only available for purchases made before the designated time period. The early bird rate will not be applicable after the period.
The entitlement of registration fee includes:
Entry ticket, access to the entire event venue (onsite) for Conference days and/or Mental Wellbeing Festival, depending on the ticket option of your purchase:

For purchasing tickets at NGO/student rate, it is required to use the respective organisation/school email for registration. In the event of a technical error during the registration process, a copy of proof must be emailed to the Organiser at conference@mind.org.hk.
The Organiser reserves the absolute discretion to determine the eligibility of registrants to register for the Event. In cases of misconduct, abuse, or submission of inaccurate or falsified information by the registrant, the Organiser reserves the right to reject the registration.

The Event may be cancelled or postponed due to unforeseeable circumstances, including but not limited to severe weather conditions. If such an event occurs close to the event start date, the Organiser reserves the right to postpone or cancel the Event.
The Organiser reserves the right to modify arrangements based on the above conditions, which will be announced on https://hkmentalhealthconference.com/ and official social media channels (Instagram / Facebook / LinkedIn). Booking fees are non-refundable.
Tickets for Day 3 are non-refundable.
For Day 1/ Day 2 tickets, registrants may request a refund on or before 30 September 2025.
Refunds will be processed within 7 working days via Ticketflap.
Complimentary tickets are non-cancellable.
A handling fee of 5% of the original ticket price will be charged for all ticket changes.
A handling fee of 5% of the original ticket price will be deducted from all refunds.
The Organiser reserves the right to decide whether to issue a refund.
In the unlikely event that the Conference is cancelled, the Organiser’s sole and maximum liability is to issue a refund for all ticket types (including Day 3 tickets), with a 5% handling fee deducted from the original ticket price.

Registrants should participate at their own risk, and the Organiser and Ticketflap are not liable for any injuries, damages, or losses incurred by registrants during the Event
The Organiser reserves the right to change the terms and conditions, event details, programme, speakers, and any other potential adjustments at any time without prior notice. Changes will be announced on https://hkmentalhealthconference.com/ and official social media channels (Instagram / Facebook / LinkedIn). By attending the Conference, the registrant acknowledges and agrees that photography and videography will be conducted onsite. These images and recordings may be used by the Organiser for promotional, marketing, and educational purposes in various media formats without further consent or compensation.
The registrant acknowledges and agrees that the Organiser of the Conference collects, processes, and stores personal data for the purposes of managing registration for the conference and for promotional communications on behalf of Mind HK.
The Organiser reserves the right to access and manage personal data of registrants held by the Organiser. Should registrants wish to exercise their rights regarding their personal data, including access, correction, or unsubscribe requests, please contact us at conference@mind.org.hk.
The decision of the Organiser shall be final and conclusive.
